Tools I recommend

Great tools only help when they’re set up right.

You don’t need every app on the market. You need a few that talk to each other, connected by someone who knows how contractors actually work. Here’s the stack I work with every day, and how the pieces fit.

The hub

QuickBooks Online

Where your books actually live. Every other tool on this page feeds into it, so your P&L, balance sheet, and job profit all come from one place. It’s the one tool every client needs.

Run the job

JobTread and Buildertrend

JobTread is my go-to for builders and remodelers who want scheduling, daily logs, estimates, budgets, change orders, and invoicing in one place, without a steep learning curve. Buildertrend does this all very well too. Both sync with QuickBooks Online.

Spend + receipts

Ramp and Bill Spend & Expense

Company cards for you and your crew, with receipt capture right from a phone and spending coded as it happens. No more shoebox of faded receipts at month-end. Ramp also handles bill pay, and Bill Spend & Expense (formerly Divvy) pairs nicely with Bill.com.

Pay bills

Bill.com and Ramp Bill Pay

Sub and supplier invoices get captured, routed for approval, and paid without paper checks piling up on your dash. Every bill and payment lands in QuickBooks with the invoice attached, which makes 1099 time a lot less painful.

People + payroll

BambooHR and Gusto

BambooHR covers hiring, onboarding, time off, and payroll in one system, which matters once your crew grows past a handful. Gusto is popular with smaller crews for straightforward payroll and contractor payments. Both send payroll entries to QuickBooks.

You don’t have to switch

If your current tools work, we keep them. I’ll connect what you have to QuickBooks, and only suggest a change when it saves you real time or money.

Estimated list prices as of October 2026. Prices change, so check each vendor before you buy.
